About the position

We are seeking a detail-oriented and motivated Paralegal Assistant to join our legal team. The ideal candidate will support attorneys in various legal matters, requiring excellent organizational skills, strong research abilities, and a commitment to confidentiality and professionalism.

Responsibilities

  • Transcribe legal documents, correspondence, and other materials accurately and efficiently
  • Organize and maintain physical and electronic files, ensuring all documents are properly labeled and stored
  • Assist with document management systems, including scanning, indexing, and retrieving files
  • Conduct legal research under the supervision of attorneys
  • Assist with legal drafting, including preparing pleadings, contracts, and other legal documents
  • Provide clerical support such as answering phone calls, scheduling appointments, and managing calendars
  • Perform data entry tasks to update client information and case files
  • Manage the CFO's calendar, schedule appointments, and coordinate meetings
  • Prepare and distribute meeting agendas and minutes
  • Assist with event planning and coordination for finance department meetings and events
  • Perform general office management duties, including ordering supplies and maintaining office equipment
  • Provide administrative support to the CFO, including drafting correspondence, proofreading documents, and handling phone calls
  • Coordinate travel arrangements and prepare travel itineraries
  • Assist with financial reporting tasks, such as gathering data and preparing presentations
  • Maintain filing systems and ensure documents are properly organized and accessible

Requirements

  • Previous experience as a Paralegal or in a similar role is preferred
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Excellent written and verbal communication skills
  • Proficiency in using document management systems and other legal software
  • Familiarity with legal terminology and procedures
  • Ability to work independently as well as part of a team
  • Attention to detail and accuracy in all work performed
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Outlook Calendar
  • Experience with proofreading documents for grammar, punctuation, and spelling errors
  • Familiarity with office management procedures and equipment (e.g., phone systems)
  • Previous experience in an administrative or personal assistant role is preferred
