About the position

The Paralegal - Contracts & Compliance at Servpro Industries, LLC is responsible for managing a complex national account and commercial account contracts process, as well as overseeing the request for proposal (RFP) process. This role involves collaboration with attorneys and both internal and external business personnel to ensure that all contractual obligations are met and maintained. The paralegal will assist with Uniform Commercial Code (UCC) filing and maintenance, vehicle title tracking to ensure the company is recorded as a lienholder on financed vehicles, and will also support the annual update of the U.S. and Canadian franchise disclosure documents. In this position, you will manage various types of contracts including National Account, Commercial Account, RFP, and non-disclosure agreements (NDA). This includes scheduling and attending meetings, preparing meeting minutes, managing the contract negotiation and revision process, and providing regular status reports. You will serve as the point of contact for the contract management database, ensuring that all information is accurate and up-to-date for each agreement submitted to the Legal Department for review. Additionally, you will maintain all Servpro form agreements and checklists for National/Commercial Accounts and RFPs, revising them as requested by senior legal personnel. The role also requires managing UCC filings, including renewals, modifications, and terminations, as well as assisting with the annual review and update process for franchise disclosure documents. Administrative and customer service support for assigned tasks and goals is also a key component of this position, along with handling general department administrative duties such as answering calls and emails from internal and external clients or customers.

Responsibilities

  • Manage National Account, Commercial Account, RFP, and NDA contracts, including scheduling and attending meetings, preparing meeting minutes, and managing the contract negotiation and revision process.
  • Provide weekly status reports to the Deputy General Counsel, Associate General Counsel, and Operations Manager.
  • Administer and serve as a point of contact for the contract management database, maintaining accurate and up-to-date information for each agreement submitted to the Legal Department.
  • Maintain all Servpro form agreements and checklists for National/Commercial Accounts and RFPs, revising as requested by senior legal personnel.
  • Manage UCC filings, including renewals, modifications, and terminations.
  • Assist with the annual review and update process for the U.S. and Canada Franchise Disclosure Documents.
  • Perform administrative and customer service support for assigned tasks and goals.
  • Complete special projects as assigned, within the required timeframe.
  • Handle general department administrative duties, including answering calls and emails from internal and external clients or customers.

Requirements

  • High School diploma and a minimum of 2 years of college, including Paralegal Certification.
  • Minimum of three (3) years' paralegal/contract and office/administrative experience.
  • Proficient experience with Microsoft Office, Excel, and PowerPoint.
  • Ability to type a minimum of 60 words per minute.
  • Experience with electronic legal research tools preferred.
  • Ability to manage a major contract process involving core clients, several internal departments, and tight deadlines.
  • Ability to understand general contract terms and conditions.
  • Proficient written and presentation skills, basic math, decision-making ability, administrative/organizational skills.
  • Ability to effectively multi-task and work in a fast-paced environment.
