About the position

About Us: We are a dynamic and growing law firm dedicated to providing exceptional legal services to our clients. We specialize in personal injury and are looking for a meticulous and organized individual to join our team as a Legal Assistant focused on medical records and billing. The Legal Assistant will be primarily responsible for managing the collection and organization of medical records and bills. This role is crucial in ensuring that all relevant documentation is accurately ordered, tracked, and uploaded into our online filing system. This position is ideal for someone with a keen eye for detail, strong organizational skills, and an interest in legal processes related to medical documentation. The position will be in Downtown Milwaukee until March of 2025, where it will transition to the Waukesha office long term.

Responsibilities

  • Communicate with clients regularly
  • Obtain subrogation information from health insurance companies, Medicare, Medicaid, and other sources
  • Order, track, and manage medical records and bills from healthcare providers
  • Ensure all records are complete, accurate, and obtained in a timely manner
  • Organize and upload medical records and bills into the firm's online filing system
  • Maintain an organized and up-to-date filing system for all case-related documents
  • Communicate with healthcare providers to resolve any discrepancies or issues in the records
  • Assist attorneys and paralegals with the preparation of medical summaries and reports
  • Collaborate with team members to ensure all documentation is readily available for case preparation

Requirements

  • Previous experience in a legal, medical, or administrative role is preferred
  • Strong organizational skills with attention to detail
  • Ability to manage multiple tasks and deadlines in a fast-paced environment
  • Excellent communication skills, both written and verbal
  • Proficiency in using online filing systems and office software (e.g., Microsoft Office, PDF management tools)
  • A high level of discretion and confidentiality when handling sensitive information
  • 2+ years of experience in a legal administrative role or as a legal assistant
  • Strong understanding of personal injury law
  • Excellent writing and interviewing skills
  • Experience with project management and the ability to prioritize tasks
  • Proficiency with Microsoft Office and document management software
  • Strong organizational and administrative skills
  • Ability to work in a fast-paced legal environment and maintain a high level of attention to detail
