About the position

The Paralegal Operations Manager at American Oversight will lead the paralegal team, ensuring operational excellence in managing records requests and agency correspondence. This role involves providing professional development, overseeing workflows, and collaborating with other departments to enhance team effectiveness and service delivery.

Responsibilities

  • Manage a team of direct reports, promoting team cohesion and collaboration.
  • Provide professional growth and development through performance management practices and coaching.
  • Lead the team in identifying and implementing new processes and systems for operational efficiency.
  • Monitor and evolve workflows to meet organizational needs, including managing incoming workflows and backlogs.
  • Guide direct reports in organizing and prioritizing their work, troubleshooting problems as needed.
  • Audit and perform quality assurance of paralegals' work in collaboration with senior paralegals.
  • Act as a liaison between the paralegal team and AO leadership, gathering feedback to optimize resource allocation.
  • Ensure smooth operation of workflows and participate in daily work to address high volume or reduce backlogs.

Requirements

  • 5+ years of work experience with increasing responsibilities.
  • 2+ years of experience leading and managing direct reports.
  • 1+ years of office experience.
  • Exceptional project management skills, including tracking and reporting.
  • Strong communication skills, both written and oral.
  • Good judgment and decision-making abilities.
  • Problem-solving skills with critical thinking capabilities.
  • Collaboration skills as an inclusive team player.
  • High attention to detail and accuracy.
  • Proficiency in standard office software and document management tools.

Nice-to-haves

  • Proficiency in Airtable, Dropbox, or document review platforms like Logikcull.
  • Experience with high-volume document management systems.
  • Familiarity with pro-democracy issues such as voting rights and civil liberties.
