About the position

Macnow & Papaleo Attorneys at Law, a boutique law firm located in Colts Neck, NJ, is seeking to fill a full-time Paralegal position. The ideal candidate will be a self-motivated individual responsible for ensuring smooth and effective case management. This role involves providing a broad spectrum of legal services under the supervision of an attorney. The firm values flexibility in working hours, but it is important to note that this is not a remote, seasonal, or summer position, nor is it an internship. Candidates should have at least 2 years of professional office experience, preferably in a legal setting. As a Paralegal, you will play a crucial role in supporting the legal team by performing various administrative tasks that enhance office effectiveness. Your responsibilities will include dictation, preparing case briefs, summarizing depositions, and filing legal documents. You will also be responsible for maintaining contact lists, monitoring deadlines, and handling communication with clients and witnesses. The position requires excellent organizational skills and the ability to manage multiple tasks under pressure, ensuring that all legal files and relevant information are accurately maintained in digital databases. Additionally, you will assist attorneys in preparing for trials and hearings, which may involve drafting contracts, letters, and other legal documents.

Responsibilities

  • Provide administrative support to lawyers and enhance office effectiveness.
  • Dictation.
  • Prepare case briefs and summarize depositions, interrogatories, and testimony.
  • Type up and file basic legal documents and correspondence.
  • Answer and direct phone calls.
  • Maintain contact lists.
  • Monitor deadlines and office calendars.
  • Handle communication with clients, witnesses, etc.
  • Schedule meetings, appointments, and interviews.
  • Organize paperwork.
  • Maintain legal files and other relevant information in digital databases.
  • Write drafts of contracts, letters, and legal documents.
  • Gather information about cases.
  • Assist attorneys to prepare for trials and hearings.
  • Prepare and deliver affidavits.
  • Perform billing and accounting duties.

Requirements

  • Proven working experience as a legal assistant or paralegal.
  • Familiarity with legal terminology, legal procedures and protocols, and court system.
  • Satisfactory knowledge of day-to-day operations of a legal office.
  • Computer literacy.
  • Proficiency in English.
  • Excellent secretarial and organizational skills.
  • Ability to juggle multiple activities and work under pressure.
  • Notary preferred.
