The RPS Paralegal plays a crucial role in overseeing, monitoring, and acting as the primary liaison for agreements and legal matters within the Retirement Products and Solutions (RPS) department. This position is tasked with the responsibility of tracking and maintaining each contract or agreement, ensuring they are accurately entered and preserved in the appropriate tracking systems. The RPS Paralegal is essential in safeguarding confidential data held by Ascensus, ensuring that all information is protected against unauthorized access, improper transmission, and unapproved disclosure, which could potentially harm Ascensus or its clients. In this role, the RPS Paralegal will serve as the main point of contact for the corporate legal team, RPS business leaders, sales teams, finance, clients, and vendors regarding requests and inquiries related to contracts and other legal matters. This includes handling initial contracts, confidentiality agreements, non-disclosures, addendums, and amendments. The paralegal is responsible for monitoring and tracking changes to agreements, ensuring that the proper routing protocol is adhered to during review and negotiation stages. Additionally, they will ensure that addendums and amendments are consistent with existing contracts and any previously agreed-upon pro-rated annual fees. The RPS Paralegal will also be responsible for securing required signatures on agreements and providing necessary copies to relevant parties as stipulated. They will enter all agreements and related legal documentation into the appropriate tracking, communication, and routing systems, such as AS/400, CLIFF, and CRM. Timely invoicing of initial billing/enrollment fees to clients is another critical responsibility. Furthermore, the paralegal will manage contract terminations, ensuring they are processed promptly, proper written notice is secured, and that all relevant systems and communications are updated accordingly. Negotiation of terms and conditions with clients or vendors, as approved by legal and senior leadership, is a key aspect of this role. The RPS Paralegal must possess the ability to understand and interpret the services offered within agreements or know whom to contact for clarification. They will assist in developing new agreement templates and maintaining existing ones, and may serve as a backup for the Support Services area as needed for contract and proposal completion.
