About the position

The Legal Assistant position at Sterling St James LLC is a hybrid role that combines legal assistance and receptionist duties. This position supports a team of attorneys in the Fort Worth office by performing a variety of complex secretarial, administrative, and substantive legal tasks, while also managing reception responsibilities. The role is essential for ensuring the smooth operation of the office and maintaining professional relationships with clients.

Responsibilities

  • Greet, welcome, and direct visitors in a professional manner.
  • Sign for deliveries and distribute mail and packages accordingly.
  • Utilize technology resources to enhance the efficiency of the attorney group.
  • Prepare documents by transcribing, formatting, and editing using office software applications.
  • Coordinate e-filings in state and federal courts and agencies.
  • Handle incoming and outgoing mail, faxes, and document scanning.
  • Maintain the daily calendar of each attorney, scheduling appointments and deadlines.
  • Open and close files, assisting with conflicts checks.
  • Support attorneys with timesheets and billing matters.
  • Set up and take down conference rooms for meetings and depositions.
  • Maintain organization in the kitchen/breakroom and supply cabinets.
  • Order and restock kitchen and office supplies.

Requirements

  • High school diploma or equivalent required; additional education such as an associate degree or business school certificate is desirable.
  • 3+ years of litigation secretarial experience in a law firm environment preferred.
  • Strong knowledge of office software applications including Word, Excel, PowerPoint, Outlook, and PDF.
  • Working knowledge of legal practices, terminology, documents, and court procedures.
  • Excellent typing, spelling, grammar, proofreading, and clerical skills.
  • Strong communication and organizational skills.

Nice-to-haves

  • Experience with ChromeRiver for reimbursement requests.
  • Ability to manage multiple priorities under pressure.
  • Proficiency in operating standard office equipment.
