About the position

The Paraprofessional - Administrative Assistant role at Smith Leonard PLLC involves providing essential support to a team of professionals in a regional CPA firm. The position emphasizes customer service, effective communication, and the ability to manage multiple tasks in a fast-paced environment. Responsibilities

  • Meet regularly with team members to review the status of their work and assist as needed.
  • Contact clients via phone, email, or text to request open items, AR payments, and documents that need to be signed.
  • Compose, type, and distribute professional correspondence as requested by management.
  • Help track progress of work to meet client deadlines.
  • Follow up with team members on stagnant work and push towards turning WIP to billing client.
  • Invoicing and collection management.
  • Review and triage WIP, billing, and due date reports each month.
  • Coordinate miscellaneous matters on behalf of team members.
  • Update system data such as workflows, contact info, routing statuses, and portals.
  • Draft or proofread Engagement Letters, Financial Statements, documents, and memos.
  • Proofread financial statements for accuracy and formatting, ensuring the finished product is error-free.
  • Pull or monitor various reports and data as requested to ensure timely completion of work.
  • Coordinate scheduling requests and help manage the staffing plan for engagements.
  • Coordinate onboarding of new clients for assigned team members.
  • Manage the engagement letter process.
  • Coordinate year-end planning meetings.
  • Provide backup support to the administrative team.
  • Assist with special projects as assigned.

Requirements

  • Prefer accounting or law firm experience.
  • Minimum 2 years or more of experience as an Administrative Assistant or Executive Administrator, preferably in the financial services industry.
  • A total of five or more years of a combination of related experience and education.
  • High level of aptitude in all Microsoft Office products (Word and Excel primarily, PowerPoint occasionally).
  • Microsoft certification(s) preferred.
  • Willingness to adapt as roles and responsibilities evolve with the growing firm.
  • Ability to multi-task in an organized and efficient manner with strong follow-through and attention to detail.
  • Results-oriented problem solver with the ability to meet deadlines.
  • Proficient typist (40+ wpm); professional writing style.
  • Professional and friendly demeanor on the telephone and in person.
  • Ability to use office equipment, including but not limited to a computer, copier, and telephones as well as related software programs.
  • Ability to understand and fulfill oral and written directions.
  • Customer service skills and team-oriented mindset.
  • Project Management / Organizational Skills.
