About the position

The Parish Administrator at Swarthmore Presbyterian Church (SPC) plays a crucial role in providing administrative support to the pastors, the Session, and the congregation. This part-time position requires a highly organized individual with excellent communication skills, who can manage multiple responsibilities effectively while supporting the church's mission and ministry. The role emphasizes professionalism, warmth, and discretion in interactions with church staff and community members.

Responsibilities

  • Administratively supports the work of the Session, including preparation of the Clerk's report and monthly agenda, compilation of minutes, and distribution of Session materials.
  • Communicates with Session as directed by the Pastor and supports technology set-up for Session meetings.
  • Prepares Session's annual statistics reports and produces the annual report.
  • Ensures SPC meets its denominational administrative responsibilities.
  • Provides administrative support to Congregational Care, including support for births, deaths, memorial services, and receptions.
  • Serves as the staff liaison to sextons, ushers, and AV Team for worship services.
  • Coordinates the seasonal schedule for kitchen organization by volunteers and oversees supplies for the Parish Life Committee.
  • Supports the Membership Committee and composes congregation-wide communications as directed by the Head of Staff.
  • Prepares liturgist announcements for weekly worship services and maintains the church calendar and space reservations.
  • Maintains the church database, including member records and financial stewardship mailing list.
  • Attends and supports weekly staff meetings and occasional staff events, and supports monthly Committee Night.

  • Skill in the use of technology and ability to learn quickly
  • Resourcefulness and ability to juggle multiple tasks and prioritize them
  • Familiarity with Office 365 (Word, Excel, Publisher, Outlook, PowerPoint), Sharepoint, One Drive, Windows 11, Servant Keeper, Mail Chimp, Google applications, Adobe Acrobat, Signup Genius, YouTube Studio, Audio-Video and Livestream systems, Zoom, Podbean, QR Code Generator, and Windows Movie Maker.
