About the position

The Parish Bookkeeper at St. Thomas Aquinas Roman Catholic Parish is responsible for maintaining all parish finances under the supervision of the Director of Operations and Finance. This role involves ensuring accurate financial tracking, supervising cash income counting, and collaborating with parish staff and the Finance Council. The Bookkeeper plays a crucial role in financial data entry, asset management, and volunteer management, ensuring compliance with diocesan policies and maintaining effective communication within the parish.

Responsibilities

  • Accounting of all parish cash income
  • Schedules, coordinates, and executes weekly count of parish income
  • Ensures custody and controls policies and procedures are created, implemented, and adhered to by all who are in cash handling positions
  • Responsible for preparing collection bags for all Masses and parish events
  • Scans all checks immediately after collection is counted
  • Determines disposition and preparation of cash receipts
  • Responsible for coordination of armored car pick-up and transportation of cash deposits
  • Maintains all appropriate reference binders and files of financial and accounting information
  • Maintains current and long-term storage files of reports and requisitions
  • Asset and depreciation management and tracking
  • Reports weekly collections to the Pastor and Director of Operations and Finance
  • Recruits, trains, and schedules money counters according to Diocesan Policies and Procedures
  • Ensures money counters have all necessary supplies
  • Ensures all financial banking transactions are accurately recorded
  • Ensures all credit card data is properly coded and entered into accounting systems
  • Parish focal for annual diocesan CDA campaign
  • Coordinates parish communications through proper staff
  • Tracks and reports progress to goals
  • Parish focal for all diocesan special collections
  • Stocks the church special collection envelopes
  • Parish focal for Church Budget Envelopes
  • Works with the contribution envelope vendor to ensure timely and accurate orders
  • Ensures a stock of generic church envelopes is available
  • Ensures parish finances are maintained in accordance with the Diocese of Phoenix General Accounting Practices and Norms
  • Attends all Parish Finance Council Meetings and responds to council inquiries

Requirements

  • Proficient in QuickBooks and MS Office software
  • Knowledge of Pushpay is desired
  • Ability to prioritize work, be proactive, and maintain confidentiality
  • Maintain solid and effective working relationships internally and externally
  • Professional demeanor with strong oral & written communication skills
  • Bachelor degree or equivalent combination of education and related experience required
  • Five years experience in financial assistance or management, with church experience preferred
  • A practicing Catholic in good standing with the Catholic Church and an active member of a Roman Catholic Parish is preferred
