The Part-time Administrative Assistant II position within the Public Works Department is designed to provide essential support to staff by performing a variety of administrative tasks. The Administrative Assistant will be responsible for facilitating communication between officials, employees, and the public, ensuring that inquiries are addressed promptly and accurately. In addition to communication duties, the Administrative Assistant will handle bookkeeping responsibilities, which may involve processing and maintaining records of fees and payments, as well as providing receipts for transactions. The role also requires greeting visitors, determining the nature of their business, and directing them to the appropriate staff members. The assistant will maintain various departmental records, reports, and files, as well as manage the inventory of office supplies and equipment. Scheduling and maintaining the calendar for office staff and conference rooms is also a key responsibility. The position may require the assistant to work on religious holidays, and regular attendance is essential. The ideal candidate will possess a high school diploma or equivalent, along with two years of relevant experience in secretarial work, governmental bookkeeping, or related fields. The ability to acquire Notary Public status and a valid driver's license are also required. This role demands effective communication skills, proficiency in computer applications, and the ability to work cooperatively with others in a dynamic office environment.

Responsibilities

  • Provide general secretarial support to the Public Works Department.

Requirements

  • High school diploma or equivalent required.
  • Two years of secretarial, governmental bookkeeping, accounting, or related experience required.
  • Ability to acquire Notary Public status.
  • Valid driver's license required.
