About the position

The part-time Administrative Assistant for the Department of Mathematics at Santa Fe College provides essential administrative support to ensure the smooth operation of the department. This role involves customer service, record maintenance, and various administrative tasks, contributing to the department's mission of fostering mathematical understanding among students. The position requires approximately 12 hours of work per week during academic terms, with a pay rate of $18 per hour.

Responsibilities

  • Answer telephones, take messages, respond to email requests, and assist students and staff with inquiries.
  • Prepare and submit faculty load sheets, maintain course schedules, and handle payroll functions.
  • Make travel arrangements and manage department purchasing and inventory.
  • Reconcile department budget reports and perform basic bookkeeping functions.
  • Submit work orders for additional services as needed.
  • Schedule appointments, meetings, and conferences as required.
  • Attend mandatory department meetings, trainings, and events.
  • Maintain confidentiality and security of sensitive records.
  • Assist in the development or upkeep of the department webpage.
  • Comply with college rules and regulations regarding document retention and confidentiality.
  • Provide excellent customer service through professional engagement.

Requirements

  • An associate's degree or equivalent with two years of related work experience, or a combination of education and experience totaling four years.
  • Ability to work successfully in a multi-cultural environment.
  • Proficiency in Microsoft Office and relevant software programs.
