About the position

The Administrative Professional at Columbia Wellness plays a crucial role in supporting the operations of the organization by managing phone calls, scheduling appointments, and handling client information. This part-time position is essential for ensuring smooth communication and administrative processes within the mental health and behavioral healthcare setting.

Responsibilities

  • Answer and prioritize phone calls, responding to all calls immediately.
  • Schedule appointments and handle client information confidentially.
  • Contact clients 24 hours prior to their appointments and follow up after no-shows or cancellations.
  • Take messages and relay accurate information to the appropriate person.
  • Complete intake paperwork for new clients and prepare necessary forms.
  • Collect cash payments, write receipts, and record cash transactions.
  • Perform miscellaneous data entry tasks and maintain office security at the end of the day.
  • Oversee the waiting room and report unusual activities to appropriate staff.
  • Attend all appropriate staff, organizational, and external meetings as assigned.

Requirements

  • High school diploma or equivalent.
  • Strong communication, writing, computer, and analytical skills.
  • Ability to work independently with little or no supervision.
  • Proficiency, professionalism, and good judgment skills.

Nice-to-haves

  • Bilingual is a plus.
