About the position

MCCA, a premium Behavioral Health treatment organization, is seeking a Part-time Bilingual (Spanish/English) Administrative Assistant. This role is essential for assisting the Program Manager with various administrative duties to ensure the success of the Pre-Trial Intervention Program (PTIP). The incumbent will manage daily operations, maintain communication with referral sources, and ensure accurate data input and correspondence in compliance with contractual standards.

Responsibilities

  • Assist the Program Manager in all administrative duties for the PTIP.
  • Handle daily administrative operations for the MCCA PTIP Program.
  • Maintain close liaison with Court Support Services Division (CSSD) and MCCA staff.
  • Serve as the point of contact for communication with referral sources.
  • Ensure timely and accurate court reports and completion reports are sent within contractual guidelines.
  • Manage daily referrals from Bail Services Staff and schedule appointments.
  • Track and record missed or kept appointments and notify referral sources.
  • Assist in maintaining and inputting data for DMHAS via DDaP database based on timelines.
  • Oversee client's status and progress throughout the PTIP Program using a detailed excel worksheet.
  • Maintain accurate admissions and discharges for PTIP Outpatient programs in CareLogic and DDaP system.
  • Process medical record inquiries and information requests in compliance with HIPAA regulations.
  • Maintain client records according to record retention policies.
  • Review and maintain office equipment and supplies as needed.
  • Provide quality customer service to clients.

Requirements

  • Minimum of a two-year degree; Bachelor's Degree in Business, Psychology, Sociology, Social Work, Human Services, Language, and/or Communications preferred.
  • Minimum of two years of demonstrated office and records management skills.
  • Ability to speak, read, and write in Spanish.
  • General administrative experience including Business English, spelling, grammar, punctuation, and arithmetic.
  • Ability to work independently and handle multiple projects and/or duties.
  • Excellent customer relations and receptionist skills.
  • Computer proficiency in Microsoft Office, Outlook, Excel, Word, and PowerPoint is a must.
  • Electronic Medical Records experience is a plus.
