About the position

The Branch Operations Specialist position at Raymond James Financial, Inc. is a part-time role based in Idaho Falls, ID. This position operates under general supervision and requires the application of knowledge and skills acquired through training and experience to manage the processing of client funds. The specialist will be responsible for performing routine standardized tasks, resolving basic inquiries, and referring more complex issues to higher-level staff. The role is essential in ensuring smooth operations within the branch, contributing to both client satisfaction and compliance with company policies. In this role, the specialist will handle various administrative tasks, including receiving and directing visitors and telephone calls, maintaining records of inquiries, and sorting and distributing incoming and outgoing mail. A significant part of the job involves processing money movements, disbursements, and check deliveries, as well as managing securities transactions. This includes transmitting orders, handling cancellations and corrections, and ensuring proper delivery to the home office with confirmation of receipt. The specialist will also assist branch management with audit preparations and support client onboarding by completing and submitting necessary forms. The position requires maintaining documentation in accordance with compliance requirements and monitoring the status of documents through importing, scanning, and submission processes. Additionally, the specialist will provide general administrative support to branch management, maintain and update files and records, manage office supplies, and cross-train in other operational functions as needed. The role may also involve performing other duties as assigned, making it a versatile position within the branch operations team.

Responsibilities

  • Receives and directs visitors and telephone calls; maintains record of inquiries, as required.
  • Sorts, screens and distributes incoming and outgoing mail.
  • Processes money movement of funds, disbursements and check delivery.
  • Transmits and receives messages with home office.
  • Processes securities transactions, including transmitting orders, cancellation and correction of orders and ensuring delivery to home office according to proper mailing procedures with confirmation of receipt.
  • Maintains documentation to cashiering according to compliance requirements.
  • Assists branch management with audit preparation.
  • Assists with opening client accounts by properly completing and submitting required forms.
  • Supports client onboarding.
  • Monitors document status through importing, scanning and submission of documents.
  • Provides general administrative support to branch management.
  • Maintains, processes and updates files, records and other documents.
  • Maintains inventory, stocks and distributes office supplies.
  • Cross-trains and assists with other operational functions as required.
  • Performs other duties and responsibilities as assigned.

Requirements

  • High School Diploma or equivalent required.
  • Prefer a minimum of one (1) year experience in the financial services industry or related field.
  • Knowledge of the company's working structure, policies, mission, and strategies.
  • Understanding of general office practices, procedures, and methods.
  • Familiarity with financial services industry investment concepts, practices, and procedures.
  • Ability to operate standard office equipment and use required software applications for correspondence, reports, electronic communication, spreadsheets, and databases.
  • Strong organizational skills to manage and track multiple detailed tasks and assignments with changing priorities and deadlines in a fast-paced environment.
  • Effective communication skills, both orally and in writing, with all organizational levels.
  • Mathematical skills sufficient to complete money movement and reporting tasks.
