About the position

The Part Time Clerical Assistant II in the Building Department is responsible for preparing documents for scanning, entering metadata, operating document imaging equipment, and verifying images to ensure quality electronic files are created and stored according to the City's Records Management Policy. This role requires attention to detail, discretion with sensitive documents, and the ability to assist other departments and the public as needed.

Responsibilities

  • Prepare documents for scanning and enter metadata fields.
  • Operate document imaging equipment to create quality electronic files.
  • Verify images and ensure they are stored according to the City's Records Management Policy.
  • Troubleshoot and make adjustments to imaging equipment as necessary.
  • Scan paper files, surveys, site plans, and photographs into electronic storage, correcting color and manipulating images as needed.
  • Index files according to existing systems or create new categories in the storage database.
  • Maintain a neat and orderly production area.
  • Assist other departments and the public in gathering and relaying information.

Requirements

  • High school diploma or equivalent.
  • One year of progressive public relations experience.
  • Possession of a valid, State of Florida driver's license.

Nice-to-haves

  • Knowledge of various software programs including Windows, Word, Excel, and Laserfiche.
  • Ability to establish and maintain effective working relationships with staff and the public.
  • Ability to interpret and explain complex information clearly.
