About the position

The Part-Time Customer Support Coordinator at Heating Green is responsible for providing exceptional customer service and administrative support within a small, cohesive team. This role involves answering customer inquiries, processing orders, and assisting with technical product issues, all while maintaining a focus on customer satisfaction and operational efficiency.

Responsibilities

  • Answer customer inquiries about orders and products via phone and email.
  • Place orders with vendors and process returns and warranty items.
  • Ship in-house orders and coordinate with vendors to solve technical product issues.
  • Provide administrative assistance within the office, including ordering supplies and maintaining office organization.
  • Communicate with customers and provide information requested, including product and installation questions.
  • Follow up with customers and vendors regarding outstanding issues.
  • Occasionally process accounts payable and accounts receivable.
  • Confirm purchase orders to sales orders to invoices.
  • Greet customers who visit the showroom.

Requirements

  • Show proof of previous work experience/results and how this benefitted previous employers.
  • Trustworthy with a high level of integrity.
  • High emotional intelligence with no fear of conflict resolution.
  • Strong level of commitment to goals and accountability to others.
  • Valid Washington state driver's license.
  • Able to lift and carry 50 lbs.
  • Able to sit/stand/walk for extended periods (up to eight hours) and walk up and down stairs.
  • Able to talk on the phone or in person as long as needed.
  • Good working knowledge of standard office equipment hardware and software.
  • Able to accurately keep records in the form of data logging for order tracking and customer information.

Nice-to-haves

  • Possess a high school diploma and college degree, though previous work experience will be considered.
  • Experience in a similar role (customer care or office manager).
  • Familiarity with QuickBooks accounting software.
  • Experience with Google Workspace or MS Office.
  • Understanding of HVAC systems or basic electricity.
  • Ability to read and interpret construction plans.
  • Experience following an EOS platform.
