About the position

ORION Commercial Partners is a leading commercial real estate firm specializing in property management, leasing, and sales services. We are dedicated to maximizing real estate value through a unified team approach and a deep understanding of our clients' objectives. As we continue to grow, we are seeking a proactive and organized Executive Assistant to join our collaborative team and support one of our Vice Presidents in driving the success of our business. We are looking for a highly organized and detail-oriented Executive Assistant to provide comprehensive administrative, operational, and client management support. This role requires a strong communicator who can manage multiple tasks efficiently and assist in the growth and success of our portfolio. The ideal candidate will have experience in executive support, project coordination, and be comfortable working in a hybrid or remote setting. The position is part-time, with a commitment of 24-32 hours per week, typically structured as 4 days per week.

Responsibilities

  • Manage the Vice President's calendar, schedule meetings, and handle email correspondence.
  • Prepare reports, presentations, and other documents as needed.
  • Organize and maintain both digital and physical filing systems.
  • Ensure consistent and professional communication with clients.
  • Assist with client onboarding processes and maintain strong client relationships.
  • Schedule client meetings and coordinate follow-ups.
  • Oversee timelines and ensure that key business projects, including property management work, client onboarding, and major construction projects, are completed on time.
  • Assist in managing budgets and preparing estimates for clients.
  • Collaborate with the marketing team to ensure that marketing activities stay on track.
  • Step in to assist with marketing efforts when the team as needed, ensuring that the Vice President's marketing strategies are executed effectively.
  • Coordinate and manage emergency response protocols, ensuring that the team is prepared for any situation.
  • Act as a point of contact for emergency situations when the Vice President is unavailable.

Requirements

  • Bachelor's degree in Business Administration, Marketing, or a related field is preferred.
  • Proven experience as an Executive Assistant or in a similar role, preferably in a fast-paced environment.
  • Strong organizational and multitasking skills with a keen attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and experience with project management software.
  • Ability to work independently and prioritize tasks effectively.
  • Familiarity with commercial real estate processes is a plus but not required.
