About the position

Healogics is the largest provider of advanced wound care services in the United States, treating more than 300,000 chronic wound patients annually across over 600 sites. The Part-Time Front Desk Coordinator plays a crucial role in the smooth operation of a dynamic outpatient wound care center. This position involves managing a variety of front office functions and performing general office duties to assist the staff of the Wound Care Center (WCC). The coordinator is responsible for ensuring that all job responsibilities are performed according to Healogics policies, hospital policies, and applicable federal and state regulations, including guidelines from the Centers for Medicare and Medicaid Services (CMS). The role requires active participation in staff meetings to support key functions within the center and coordination with center leadership to maximize daily patient census. The coordinator greets patients and visitors, answers and routes calls, and maintains all patient communication needs, including scheduling and appointment reminders. Additionally, the coordinator is responsible for obtaining and verifying patient insurance information, collecting and entering patient charges, and maintaining patient charts. The position also involves coordinating ancillary testing with other hospital departments and arranging patient transportation as needed. Overall, the Part-Time Front Desk Coordinator is essential in providing quality care and support to patients while ensuring the efficient operation of the outpatient clinic.

Responsibilities

  • Coordinates with Center leadership to maximize daily patient census.
  • Actively participates in staff meetings to support key functions within the Center.
  • Greets patients and other visitors, answers and routes calls to appropriate staff.
  • Maintains all patient communication needs including scheduling, rescheduling, and appointment reminders.
  • Works and schedules for provider according to the care continuum model.
  • Obtains and verifies patient insurance information, including pre-certifications and pre-authorizations for services.
  • Enters data in appropriate databases and collects patient charges.
  • Verifies and reconciles charges as directed, prepares monthly patient survey data and appropriate documentation, then transmits to providers.
  • Assembles new patient charts, maintains and files existing patient charts, and spot checks charts for data completeness and signatures.
  • Coordinates/schedules ancillary testing with other hospital departments.
  • Arranges for patient transportation as needed.
  • Maintains office equipment and supplies as needed, and medical supplies as directed.
  • Performs other duties as required.

Requirements

  • High School Diploma or General Education Development (GED); Associate's degree preferred.
  • Minimum of Two (2) or more years office administration experience, preferably in a medical setting.
  • Prior medical coding experience preferred.
