About the position

Clark Nuber is seeking a Part-time Front Desk Receptionist to join our team. This job-shared role requires strong communication and administrative skills, along with a proactive and polished approach to client and team interactions. As the first point of contact for clients, visitors, and employees, you'll oversee all front office activities and procedures, operate a multi-line phone system, and ensure the reception area runs smoothly and professionally. You'll also assist the Operations team with special projects and contribute to maintaining a welcoming and efficient environment.

Responsibilities

  • Open the reception area, greet and assist visitors, and operate a multi-line phone system to direct calls to the appropriate team members.
  • Provide exceptional customer service by welcoming visitors, offering refreshments, preparing name badges, and validating parking as needed.
  • Manage incoming and outgoing mail, courier services (UPS/FedEx), and fax distribution.
  • Maintain the orderliness of the reception area and conference rooms, including scheduling and monitoring room usage.
  • Assist with administrative tasks such as processing invoices, ordering office supplies, and submitting building maintenance requests.
  • Manage employee security badges, including issuing new badges, troubleshooting issues, and processing fitness center access requests.
  • Stock employee restrooms with necessary supplies and ensure cleanliness and readiness of common areas.
  • Train new administrative personnel on front desk procedures and coordinate back-up staff for meetings or planned absences.
  • Actively contribute to the firm's engagement initiatives.

Requirements

  • A High School diploma or equivalent, or a combination of education and related work experience.
  • A minimum of 1 year of experience as a front desk coordinator in a bustling office environment, preferably within a professional services firm.
  • Proficiency in Microsoft Office suite and the capability to operate a variety of office equipment.
  • Exceptional communication and organizational abilities.
  • The capacity to effectively manage multiple tasks in a dynamic environment.
