About the position

The Iron County School District is seeking a Part Time ISS/Solutions Secretary for Cedar High School. This role involves performing various secretarial tasks in a public school setting, providing support to students, parents, and staff, and exercising independence and judgment in daily operations. The position requires 27.5 hours of work per week and focuses on enhancing the educational environment by managing administrative duties effectively.

Responsibilities

  • Answer and screen telephone calls to provide information, take messages, or transfer calls.
  • Greet visitors and direct them to appropriate areas or persons.
  • Maintain a calendar of school events.
  • Provide assistance to PTA and student council.
  • Set interview appointments for referred paraprofessional and clerical applicants.
  • Read and route incoming mail.
  • Locate and attach appropriate files to correspondence when needed.
  • Review and update office procedures, while providing training for other office staff.
  • Coordinate and arrange meetings, prepare agendas, reserve and prepare facilities, and record and transcribe minutes of meetings.
  • Design and organize filing systems; act as custodian of records.
  • Assist students with emergency, medical, hygienic, and illness issues by reviewing and following medical record information, administering minor first aid, and contacting parents or professional medical personnel.
  • Responsible for student services such as locker assignment, bus passes, student ID cards, and organization of graduation activities.
  • Accept and deposit funds for lunches, school supplies, and student activities as needed.
  • Disburse funds, record financial transactions, and audit and balance student organization and other school fund accounts.
  • Maintain and prepare information needed for budget purposes.
  • Monitor, arrange and record travel schedules and reservations; arrange complex and detailed travel plans and itineraries, compile documents for travel-related meetings.
  • Order and maintain supplies, and arrange for equipment maintenance.
  • Perform minor maintenance and repair of office machines and copiers.
  • In the absence of the principal, monitor school programs and activities under administrative direction.
  • Monitor and record student restitution progress.
  • Obtain student information by calling other schools, professional agencies, and parents.
  • Talk with a student encountering a problem and resolve the problem or direct the student to another staff member.
  • Study new regulations and apply them in preparing reports and maintaining records.
  • Create and maintain database and spreadsheet files.
  • Update computer data files with a wide variety of student information.
  • Collect and maintain student attendance records and reports; update attendance data; confer with parents, administrators, and teachers about attendance issues.
  • Prepare, consolidate, submit and maintain employee time and attendance records.
  • Monitor and update substitute teacher databases, ensuring proper documentation of absence information.
  • Compile and file student grade reports and other school records.
  • Compose or transcribe from rough draft correspondence, bulletins, memorandums, and other material.
  • Maintain records and report school statistical minority information in accordance with applicable State and Federal laws.
  • Ensure regular, reliable, predictable attendance and job performance.

Requirements

  • High school diploma or equivalent.
  • Experience in a secretarial or administrative role, preferably in an educational setting.
  • Proficient in office software applications, including word processing and spreadsheet programs.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
