About The Position

The San Diego Master Chorale is seeking a highly organized and detail-oriented Operations Coordinator to manage the logistics of singers and events. This part-time role involves working closely with the Music Director, staff, and a 130-member chorus of volunteer and professional singers. The position requires exceptional organizational skills, attention to detail, and effective communication with various stakeholders, while offering a hybrid work structure that combines remote tasks with in-person attendance.

Requirements

  • Strong communication, organizational, and interpersonal skills.
  • Excellent written and verbal communication abilities.
  • Highly detail-oriented, with strong multitasking, prioritization, and time management skills.
  • Proficiency with Google Workspace, MS Office, and collaborative tools (experience with Chorus Connection is a plus).
  • Solid knowledge of spreadsheets, databases, and word processing software.
  • Availability for evening and weekend events.
  • Ability to work both independently and collaboratively, managing shifting priorities with minimal supervision.
  • Experience in performing arts required; passion or interest in the arts is highly valued.

Responsibilities

  • Manage communication with singers through email and chorus management software (Chorus Connection).
  • Send weekly rehearsal reminders with all relevant information.
  • Track attendance, absences, and roster updates; address related inquiries.
  • Oversee onboarding of new and returning singers, including distributing handbooks and updating Chorus Connection.
  • Assist the Music Director in assembling performance rosters and monitoring attendance.
  • Maintain and update rosters, email lists, attendance records, music files, seating charts, and concert details in Chorus Connection.
  • Oversee weekly rehearsal operations in person, including setup, making announcements, and coordinating guest artists as needed.
  • Develop detailed production plans for concerts, including schedules, logistics, and organizing guest artist arrangements.
  • Coordinate production needs at venues including singer logistics (e.g. green room, parking, accessibility) and stage crew setup.
  • Communicate stage directions and production details to singers and guest artists before and during performances.
  • Collaborate with the Music Librarian and artistic partners to ensure timely distribution and collection of music materials.
  • Support the preparation and proofreading of concert program books.
  • Assist in coordinating logistics for engagement and outreach activities as assigned.
  • Coordinate auditions for new and returning singers, including scheduling and communication.
  • Maintain organized audition records and respond to inquiries throughout the season.
