About the position

The Part-Time Payroll Specialist role is a contract position within a dynamic start-up company, focusing on payroll processing for a diverse workforce across multiple states. This remote position requires collaboration with HR and Finance teams to ensure accurate payroll operations while maintaining compliance with various regulations. The role offers an opportunity to develop skills in payroll systems and processes, particularly in ADP Workforce Now, and is expected to provide around 16-20 hours of work per week for approximately six months, with potential for conversion to a permanent role in early 2025.

Responsibilities

  • Accurately process semi-monthly payroll for exempt and bi-weekly payroll for nonexempt employees across 40+ states.
  • Review and verify timesheets and attendance records.
  • Enter, audit, and maintain employee data within payroll systems, ensuring accuracy of compensation, benefits, and deductions.
  • Collaborate with external payroll and benefits providers to ensure accurate payroll data transfer and payment processing.
  • Process payroll changes related to employee leaves.
  • Manage multistate tax registrations and filings, ensuring compliance with payroll tax laws.
  • Assist with month-end close reconciliations, conduct payroll audits, and resolve discrepancies with HR and Finance teams.
  • Process 401(k) contributions and ensure compliance with 401(k) regulations.
  • Handle special payroll transactions such as off-cycle payments, retroactive pay, and garnishments.
  • Reconcile and prepare W2 forms and ensure accuracy in payroll tax filings.

Requirements

  • Minimum 3+ years of relevant payroll experience in a multistate environment.
  • Proficiency in ADP Workforce Now (WFN) or other payroll systems is required.
  • Experience working with HRIS platforms is a plus.
  • Deep understanding of federal, state, and local payroll regulations, tax laws, and reporting requirements.
  • Advanced skills with Excel and Google Sheets, including working with large datasets for reconciliation and reporting purposes.
  • Strong analytical and problem-solving abilities with attention to detail and accuracy.
  • Clear, professional communication skills with the ability to explain payroll-related matters to employees.
  • Ability to manage sensitive payroll data and handle employee information with confidentiality.
  • Bachelor's degree in Accounting, Finance, or a related field.
