About the position

The Part-Time Receptionist plays a crucial role in providing a welcoming environment for visitors and employees at the organization. This position involves greeting guests, managing phone calls, maintaining visitor logs, and providing administrative support to the HR division. The receptionist is expected to deliver outstanding customer service while maintaining confidentiality and professionalism in all interactions.

Responsibilities

  • Greets visitors, vendors, employees, applicants, and customers in a pleasant and welcoming manner.
  • Maintains a running log of each guest, badge issued, and time of arrival and departure.
  • Answers incoming telephone calls on a computer-based telephone system and forwards calls appropriately.
  • Takes messages for unavailable personnel and delivers them via telephone, email, or voicemail.
  • Provides guest services emphasizing outstanding customer service, courtesy, and timeliness.
  • Maintains knowledge of the organization, divisions, departments, and employees for reliable service.
  • Provides training on receptionist duties to relief staff as necessary.
  • Provides administrative support to the HR division, including data entry and project management.
  • Handles stress and works well with others effectively.
  • Performs any other related duties as required or assigned.

Requirements

  • High School diploma or GED.
  • Basic understanding of administrative and clerical procedures and systems.
  • Excellent verbal communication skills.
  • Excellent interpersonal and customer service skills.
  • Proficient with Microsoft Office Suite or related software.

Nice-to-haves

  • Associates Degree.
  • Basic Microsoft Office certification in Word and Excel.
