About the position

We are seeking a highly organized and proactive Office Manager/Bookkeeper to oversee our daily operations and ensure the smooth functioning of our office environment. The ideal candidate will possess strong administrative skills, excellent team management capabilities, and a keen eye for detail. This position will involve maintaining financial records, including purchase receipt recording, accounts payable, and accounts billable, while also managing various office tasks.

Responsibilities

  • Oversee daily office operations and ensure smooth functioning of the office environment.
  • Maintain financial records including purchase receipt recording, accounts payable, and accounts billable.
  • Manage calendar for executives and perform data entry tasks.
  • Run errands for executives as needed, requiring a valid driver's license and reliable vehicle.
  • Handle copying, scanning, faxing, and use of plotter (training provided).
  • Update and maintain vendor and subcontractor files and information.
  • Perform check printing and recording tasks.
  • Pick up mail and manage file organization.
  • Engage in social media marketing and maintain office supplies & inventory.
  • Communicate with employees regarding their needs and project data input into online systems.

Requirements

  • Minimum of a High School Diploma or GED.
  • Experience in QuickBooks Online is mandatory.
  • Bilingual in Spanish is a plus.
  • Thorough knowledge in Excel and Word is required.
  • 1 year of administrative experience is required.
  • 1 year of organizational skills is required.

Nice-to-haves

  • Experience in office management within the construction industry is preferred.
  • Familiarity with construction accounting principles and job costing is a plus.
  • Ability to relocate to Layton, UT is preferred.
