About the position

We are seeking a highly organized and proactive Virtual Administrative Assistant for BLISS Counseling & Consulting. This role is ideal for someone who thrives in a remote work environment, has flexibility to make and receive occasional phone calls, and possesses strong communication skills. The Virtual Assistant will play a crucial role in ensuring smooth operations and enhancing productivity across various projects.

Responsibilities

  • Verify insurance information and ensure accurate documentation.
  • Perform data entry and maintain updated records.
  • Oversee and update CAQH profiles.
  • Manage social media accounts and monitor online presence.
  • Develop and organize filing systems for efficient record-keeping.
  • Monitor and respond to emails in a timely manner.
  • Track certifications, licenses, and provide timely reminders to providers.
  • Retrieve and input patient documents into the EHR system.
  • Schedule appointments and maintain calendars for team members.
  • Coordinate onboarding paperwork and processes for new employees.
  • Conduct follow-up communications with clients, potential clients, employees, and contractors as necessary.
  • Prepare and distribute communications, including memos, emails, invoices, reports, and other correspondence.
  • Assist with additional administrative tasks as required.

Requirements

  • Some college coursework preferred.
  • Prior experience in behavioral health care preferred.
  • Medical billing and coding experience highly preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is required.
  • Proficiency with Google Suite Programs (Sheets, Docs, Gmail, etc).
  • Familiarity with database management systems and project management tools is a plus.
  • Strong organizational abilities, including task prioritization and effective time management.
  • Excellent written and verbal communication skills.
  • Strong critical thinking skills and adaptability.
  • Keen eye for detail to ensure accuracy in all tasks.
