About the position

CGI Federal is seeking experienced Support Associates to join the Chicago Passport Agency team. The ideal candidates will possess excellent communication skills and have a background in customer service, particularly in front-facing roles. This position requires the ability to work collaboratively in a fast-paced environment, ensuring that all tasks are completed efficiently and accurately. The Support Associates will be responsible for operating various equipment for high-speed scanning, mailing, and metering of mail, as well as preparing and mailing envelopes containing passports and supporting documents. Additionally, they will box and archive files for storage purposes, ensuring that all records are maintained properly. In this role, associates will interface directly with passport applicants at the Agency/Center Information and Will-Call counters. They will ensure that appointments are scheduled, review passport applications and supporting documentation for completeness, and provide applicants with necessary fee information. Prior to distributing passports, associates will print and review passport books for accuracy and quality. They will also handle refund and reimbursement requests, generate credit card payments, and assist with Acceptance Agent training by preparing materials and conducting office tours. The position requires maintaining and cataloging electronic records of passport acceptance facilities, contacting applicants for necessary documents, and resolving undeliverable mail items. Associates will generate correspondence to resolve application discrepancies as guided by DOS Passport Specialists. This role is crucial in ensuring that all processes related to passport applications are handled with precision and care, contributing to the overall efficiency of the Chicago Passport Agency.

Responsibilities

  • Operate various equipment for high-speed scanning, mail out, and metering of mail.
  • Prepare and mail envelopes with correct passport and corresponding supporting documents.
  • Box and archive files for storage purposes.
  • Interface with passport applicants at Agency/Center Information and Will-Call counters.
  • Ensure appointment is scheduled at the Information Station.
  • Review passport application, photograph, identification, and supporting documentation for completeness prior to adjudication.
  • Ensure the application and documents comply with Passport requirements and provide fee information to customers.
  • Print and review passport books for accuracy and quality before distribution to applicants.
  • Process refund/reimbursement requests.
  • Generate credit card payments from applicants and distribute completed batches to the Cashier's Office.
  • Verify all completed transactions and run designated reports.
  • Assist with Acceptance Agent training, including preparing training materials and conducting office tours.
  • Assist CSM in maintaining and cataloging electronic records of passport acceptance facilities.
  • Contact applicants to request necessary documents.
  • Resolve undeliverable mail items by contacting customers and documenting actions in a SharePoint application.
  • Generate correspondence to resolve application discrepancies as guided by DOS Passport Specialists.

Requirements

  • Bachelor's Degree
  • Four years of general office experience, following specific procedures in clerical tasks such as coding and filing documents, opening mail, and running mail through metering machines.
  • Three years of experience utilizing a variety of office software, specifically Microsoft Office.
  • Capable of performing tasks while maintaining a high level of accuracy.
  • Ability to work in one place and traverse the office on a continuing basis.
  • Must maintain constant awareness of all aspects of internal and external security.
  • Ability to successfully complete the CGI Background Investigation, including 50 State Criminal, Education, and Employment checks.
  • US citizenship and ability to obtain an MRPT clearance are required.
  • Ability to frequently lift and carry up to 45 lbs.
  • Willingness to stand and walk around the worksite for the entirety of the shift.
