About the position

Kinney & Lange, P.A., an established full-service intellectual property (IP) law firm located in downtown Minneapolis, is seeking a Patent Legal Assistant to join their team. This position is crucial for supporting the firm's patent law practice and involves a variety of tasks that require attention to detail and the ability to manage multiple responsibilities effectively. The Patent Legal Assistant will be responsible for preparing documents from forms and templates based on materials provided by clients and attorneys, including patent and trademark application documents for filing. In this role, the assistant will organize and upload documents for e-filing with various patent and trademark offices, ensuring that all submissions are accurate and timely. The position also involves reviewing Office Actions and other communications from patent and trademark offices, preparing response templates for attorney completion, and corresponding with clients regarding the status of applications and other matters. The assistant will coordinate the transmittal of documents needing signatures, monitor attorney dockets for approaching due dates, and maintain precise follow-ups and reminders. Additionally, the Patent Legal Assistant will prepare Information Disclosure Statements (IDS) for filing with the United States Patent and Trademark Office, which includes obtaining copies of patents and articles for submission. The role requires the development and documentation of client procedures and best practices, as well as maintaining electronic files and performing miscellaneous typing, copying, and clerical tasks as needed. Responsibilities

  • Prepare documents from forms/templates based on client-provided and attorney-provided materials, including patent and trademark application documents for filing.
  • Organize and upload documents for e-filing with various patent & trademark offices.
  • Review Office Actions and other communications from patent & trademark offices and prepare response templates for attorney completion.
  • Correspond with clients regarding the status of applications and other matters.
  • Coordinate the transmittal of documents needing signatures (i.e., declarations and assignments).
  • Monitor attorney dockets for approaching due dates.
  • Work closely with the docketing staff and office services to ensure all dates are docketed.
  • Maintain precise follow-ups and reminders.
  • Prepare Information Disclosure Statements (IDS) for filing with the United States Patent and Trademark Office, including obtaining copies of patents and articles for submitting with IDSs.
  • Develop and document client procedures and best practices.
  • Maintain electronic files.
  • Perform miscellaneous typing, copying and other clerical tasks.

Requirements

  • Strong attention to detail and ability to multitask to meet deadlines.
  • Experience in patent prosecution is preferred, but candidates with minimal experience and a recent paralegal degree will also be considered.
  • Excellent technology skills, including proficiency in the Microsoft Office Suite.
  • Familiarity with Foundation IP, Anaqua, or other IP docketing software, and/or time and billing software is ideal.
