About the position

The Patient Access Coordinator (PRN) at Valley View Medical Center is responsible for providing exemplary customer service to patients, families, staff, physicians, and visitors. This role involves obtaining necessary patient information, managing phone inquiries, and ensuring accurate medical record assignments. The coordinator plays a crucial role in the patient registration process, including verifying insurance, obtaining authorizations, and handling medical records efficiently.

Responsibilities

  • Provide exemplary customer service to patients, families, staff, physicians, and visitors.
  • Interview patients at workstation or bedside to obtain necessary information.
  • Respond to phone calls at the Concierge desk and direct visitors appropriately.
  • Hand out paging disks to patients upon arrival for tests or procedures and explain their use.
  • Ensure correct medical record number assignment by searching MIP and notifying medical records of duplicates.
  • Check physician orders for accuracy and attach them to patient files.
  • Manage recurring accounts by scanning orders, making armbands, and checking authorizations.
  • Verify patient insurance for pre-certification/authorization and obtain necessary approvals.
  • Update Worker Compensation information and communicate updates to the billing department.
  • Complete Medicare Secondary Payor (MSP) Questionnaire as applicable.
  • Perform medical necessity checks on traditional Medicare accounts as needed.
  • Scan insurance cards, physician orders, and other relevant documents into the appropriate folders.
  • Administer consent forms and ensure necessary signatures are obtained for treatment.
  • Collect required payments including co-pays and deductibles, or refer to Benefits Advisor when appropriate.
  • Use the hospital computer system to make account notes for reference.
  • Produce paperwork for each patient for distribution to relevant departments.
  • Work with physician offices and hospital departments to provide necessary information or documents.
  • Utilize the occurrence reporting system to report potential patient safety issues.
  • Attend monthly meetings and seminars as required.

Requirements

  • High school diploma or equivalent required.
  • Critical thinking skills and decisive judgment are necessary.
  • Ability to work with minimal supervision in a stressful environment.
  • Some customer service and medical office experience preferred.
