About the position

The Patient Access Change and Integration Manager plays a crucial leadership role in optimizing scheduling processes across the RWJBarnabas Health (RWJBH) enterprise. This position is responsible for the design, implementation, and maintenance of integrated scheduling pathways for physician and hospital-based appointments, ensuring a patient-centric approach. The manager leads a team of business analysts to coordinate various access projects, collaborating with clinical stakeholders to identify and resolve scheduling issues, and facilitating changes in the Epic system to enhance patient access services.

Responsibilities

  • Lead and oversee a team to deliver service excellence in project management related to Patient Access.
  • Coordinate the design, documentation, and implementation of patient access Epic workflows.
  • Participate in defining project scope, goals, and deliverables in collaboration with senior management and stakeholders.
  • Facilitate business requirement gathering sessions to develop a patient-centric scheduling approach using Epic and ancillary systems.
  • Manage capacity through analysis of scheduling workflows to align with organizational goals.
  • Work with training teams to develop training materials for end-users during implementations and ongoing changes.
  • Participate in go-live deployments and troubleshoot functional issues that arise.
  • Log, track, analyze, and coordinate all system changes and enhancements related to scheduling.
  • Communicate project expectations clearly to team members and stakeholders.
  • Develop and deliver progress reports, proposals, and documentation to stakeholders and management.
  • Conduct post-project reviews to identify successful elements and areas for improvement.

Requirements

  • Minimum two years in a scheduling support environment utilizing Epic EMR.
  • Minimum one year experience in a management capacity.
  • Bachelor's Degree in Business Administration, Computer Science, or related field (experience may be considered in lieu of degree).
  • Deep understanding of Scheduling functionality specific to Epic EMR.
  • Extensive knowledge of Epic EMR scheduling modules including decision trees and CRM.

Nice-to-haves

  • Minimum one year direct work experience in a project management capacity.
  • Knowledge of medical terminology.
