About the position

The Patient Access Specialist plays a crucial role in the clinical care team at Union Community Care, focusing on delivering exceptional customer service while managing patient registration, appointment scheduling, and exit processes. This position is essential for ensuring that patients feel welcomed and supported throughout their healthcare experience, contributing to the organization's mission of fostering equity in healthcare.

Responsibilities

  • Ensure all patients and visitors feel warmly welcomed at all Union Community Care sites.
  • Provide superior telephone customer service for patients seeking access or assistance, including rotation through Call Cloud.
  • Verify all patient demographic and insurance information and apply predetermined sliding fee discount.
  • Verify coverage of insurance if needed, keeping passwords current for various insurance systems.
  • Answer incoming phone calls professionally and knowledgeably about Union Community Care access and services.
  • Fully understand and apply the Sliding Fee Discount Policy and Procedures, offering it to all patients and applying it in Athena.
  • Work with appointment scheduling, including checking the Portal Bucket for appointment requests and contacting patients to reschedule cancelled appointments.
  • Monitor the Solution Reach appointment communication platform to manage appointment changes as requested by patients.
  • Collect applicable fees or co-payments at the time of registration, prior to the scheduled visit.
  • Perform patient check-in ensuring all consents are current and demographic data is accurate in the e-HR.
  • Prepare daily batch report and reconcile cash drawer using the registration collection closing procedure.
  • Import and scan necessary paperwork and forms, ensuring proper labeling and routing in Athena.
  • Perform patient exit duties, scheduling necessary follow-up appointments and providing care instructions.
  • Assist with team duties including cleaning rooms, printing labels, and handling other tasks as needed.
  • Perform other work-related duties as assigned.

Requirements

  • High School Diploma or G.E.D., Administrative Assistant Degree or Medical Assistant Degree.
  • Excellent customer service and interpersonal skills.
  • Exhibits excellent communication skills.
  • Attention to detail.
  • Good basic computer skills.
  • Strong team player.
  • Compliance with HIPAA regulations.
  • Knowledge of medical terminology is a plus.
  • English proficiency required.
