About the position

The Patient Care Coordinator at Portland Face Doctor serves as the first point of contact for patients, playing a crucial role in ensuring an outstanding experience for both new and existing patients. This position involves managing patient communications, scheduling consultations, and assisting with the sale of skincare products, all while maintaining a warm and professional demeanor. The coordinator will work closely with the surgeon to facilitate patient journeys through various procedures and ensure high levels of patient satisfaction.

Responsibilities

  • Answer phone calls, texts, and e-mails from prospective patients.
  • Help patients navigate their journey through scheduling consultations, surgery, and procedures.
  • Serve as a liaison between the patient and surgeon, ensuring high levels of communication.
  • Assist with the sale of skincare products and provide recommendations for patients.
  • Conduct and manage the pre-qualification process for patients.
  • Provide patient quotes for treatment plans as recommended by the surgeon and discuss payment options with patients.
  • Manage expectations and answer questions regarding postoperative care and recovery.
  • Follow up with prospective patients systematically to maximize conversion and field patient questions.
  • Ensure accurate capture and entry of patient data in electronic medical records.
  • Communicate relevant patient information to the surgeon.
  • Collect timely payment for procedures.
  • Discuss immediate postoperative care with patients prior to surgery.
  • Track surgical patients and prospective patients.
  • Communicate with patients via phone, email, text, and in-person.

Requirements

  • Bachelor's degree preferred.
  • Minimum of 1 year of experience in high-end sales and/or customer service.
  • Strong written and verbal communication skills.
  • Strong organizational skills to perform multiple tasks with excellent attention to detail.
  • Strong teamwork skills and ability to work with professionals at all levels.

Nice-to-haves

  • Familiarity with social media (Instagram, TikTok, YouTube) a plus.
