About the position

The Patient Care Coordinator at Kinwell is responsible for managing the patient experience from check-in to check-out, ensuring a smooth and efficient process for patients visiting the clinic. This role emphasizes personalized care and involves various administrative tasks, including scheduling appointments, managing patient records, and facilitating communication between patients and clinical staff. The coordinator plays a vital role in maintaining a welcoming environment and supporting the overall operations of the clinic.

Responsibilities

  • Greet patients and visitors and direct them accordingly.
  • Schedule new patient and follow-up appointments.
  • Obtain insurance authorization to process patients for services needed.
  • Collect and process copays as appropriate.
  • Assist patients with the check-in process and complete their portion of patient history in the EMR.
  • Answer incoming phone calls and assist callers or direct calls accordingly.
  • Communicate status of all patients and requests to clinical staff, physicians, or center manager to ensure continuous operation of the center.
  • Proficiently use the EMR and/or develop proficiency as needed.
  • Manage the clinic and clinician schedules to maximize efficiency.
  • Assist with referrals for assigned center and up to 2 additional centers managing remotely.
  • Follow HIPAA guidelines and safety rules as outlined in training.
  • Attend and participate in team huddles, center staff meetings, and ongoing training.
  • Perform all duties to achieve or exceed established service standards and create a delightful patient experience before, during, and after the visit.
  • Assist Medical Assistants with any administrative or legal chart requests from patients, lawyers, or TPA's.
  • Perform other duties as assigned.

Requirements

  • H.S. Diploma or GED (required).
  • Associate degree and 3 years or 5 years of prior medical practice experience (required).
  • Experience in a customer service environment (required).
  • Demonstrated intermediate knowledge of PCs, word processing, data entry, and EMRs (required).
  • Current BLS certification from American Heart Association (AHA) or Military Training Network (MTN) is strongly preferred.
  • Excellent critical thinking, flexibility, problem-solving, and communication skills.
  • An interest in growing and developing skills and knowledge to take on larger tasks or roles.
  • Experience using EPIC.

Nice-to-haves

  • Current BLS certification from American Heart Association (AHA) or Military Training Network (MTN) is strongly preferred.
