About the position

The Patient Care Coordinator at Maywood Pediatrics is responsible for managing patient information and ensuring a smooth patient experience. This role involves working collaboratively with the care team to support organizational goals, deliver excellent customer service, and adhere to established processes. The coordinator will handle various administrative tasks, including patient registration, appointment scheduling, and insurance verification, while maintaining compliance with medical regulations and standards.

Responsibilities

  • Obtain accurate and updated patient information, such as name, address, insurance information
  • Perform insurance verification on the date of service
  • Obtain patient signatures for required documents
  • Upload a valid Government issued state ID of patient and patient insurance cards
  • Accurate and complete occupational medicine registration workflow
  • File and maintain medical records
  • Consistently correct registration work queue errors
  • Confirm and schedule appointments
  • Answer telephone calls promptly and courteously
  • Perform referral documentation promptly
  • Work daily in the claims edit work queue and referrals work queue to correct registration errors for submission to insurance companies
  • Perform follow-up services for patients, such as scheduling specialist appointments and obtaining lab results
  • Adhere to Optum Employee Policies
  • Work cohesively with fellow employees to achieve specific team goals
  • Maintain patient confidentiality and comply with HIPAA and OSHA requirements
  • Participate in planning and implementing care with the multidisciplinary team
  • Assure continuity of care through scheduling and tracking systems
  • Provide effective communication to patient/family and other health care professionals
  • Notify clinical staff of schedule changes
  • Comply with administrative policies to ensure quality of care
  • Demonstrate precision in scanning documents and monitoring the fax server
  • Participate in orientation of new field employees
  • Perform other related duties as required
  • Organize and maintain medical records
  • Complete new clinical competencies as required
  • Work independently and assist with clinical duties on a limited basis

Requirements

  • High School Diploma/GED (or higher)
  • 1+ years of experience in a medical front office position
  • Intermediate computer proficiency, including Microsoft Outlook, Excel, and Word
  • Ability to travel 10% of the time to cover other offices as needed
