About the position

The Patient Care Program Coordinator at Vanderbilt University Medical Center plays a crucial role in the Ear, Nose & Throat Clinic, focusing on cosmetic and reconstructive facial plastic surgery. This position is designed for an ambitious early-career professional who is passionate about patient care and coordination. The coordinator will be responsible for managing the entire patient care process, which includes coordinating diagnostic evaluations, treatments, surgeries, and follow-up appointments for patients and their families. The role emphasizes providing exceptional service to patients undergoing elective procedures, ensuring a seamless experience in the new facial plastics suite at One Hundred Oaks. In this position, the coordinator will work closely with clinical care staff and providers to ensure that all regulatory requirements are met, maintaining patient care needs and program guidelines. The coordinator will also handle pre-payments for elective procedures, provide estimates, and act as a point of access for patients, referring providers, and the Vanderbilt community. Developing both short- and long-term goals for the program's success is essential, as is supporting the patient care team in marketing programs and streamlining business models for appropriate growth. The role requires establishing contact with existing, newly diagnosed, potential, or referred patients, facilitating access to providers, educational materials, and communication with care providers. The responsibilities outlined are a general overview, and additional duties may be assigned as needed. This position operates Monday through Friday from 8:00 AM to 5:00 PM, located at 719 Thompson Lane, Suite 30400, Nashville, TN 37204.

Responsibilities

  • Partners with clinical care staff and providers to ensure all regulatory requirements are met to maintain patient care needs, program guidelines and/or required accreditation standards.
  • Receives and distributes pre-payments for elective procedures.
  • Provides estimates for elective procedures.
  • Acts as a point of access for patients, referring providers and the Vanderbilt community.
  • Develops both short- and long-term goals to ensure programs' success.
  • Provides support to patient care team to market programs and streamline business models to allow for appropriate growth.
  • Establishes contact with existing, newly diagnosed, potential, or referred patients by facilitating access to providers, educational materials, and communication with care providers.

Requirements

  • High School Diploma or GED
  • 3 years of relevant work experience
  • Intermediate program management skills
  • Novice level in process improvement, financial processes, peer leadership, quality management, and networking.
