About the position

The Patient/Office Coordinator at King's Daughters Medical Center plays a crucial role in supporting the Clinical or Office Supervisor in managing the daily operations of the urgent care practice. This position involves a variety of clerical and administrative tasks aimed at ensuring the smooth functioning of the office. The coordinator is responsible for providing secretarial guidance and support services, which include preparing correspondence, receiving visitors, scheduling meetings, maintaining files, and conducting special projects or reports as assigned. A key aspect of this role is to ensure that all office staff adhere to the guidelines set forth by the Patient Privacy Act (HIPAA), JCAHO protocols, and the mission and vision statements of KDMC. In addition to administrative duties, the Patient/Office Coordinator is tasked with greeting and assisting customers in a prompt and professional manner. This includes scheduling appointments, accurately completing patient registration information, and ensuring proper telephone etiquette while processing information for billing. The coordinator must monitor and audit work queues, answer phones, schedule appointments, and complete patient referrals and documentation in a timely manner. Daily cash management responsibilities include collecting payments, explaining financial requirements, and balancing, verifying, and depositing cash at the end of each day. Insurance verification prior to patient visits is also a critical function of this role, ensuring that all necessary information is obtained and maintained accurately. The working environment is primarily indoors within an office or clinic setting, where the noise level is usually moderate. The coordinator must be able to maintain a stationary position behind a computer for extended periods while also being required to move about the department frequently. Communication with colleagues and customers is constant, both telephonically and face-to-face, necessitating strong interpersonal skills. The role also involves operating a computer and telephone regularly, along with some physical demands such as lifting and moving items up to 50 pounds occasionally.

Responsibilities

  • Assist the Clinical or Office Supervisor in supervising office staff and daily management activities.
  • Provide secretarial guidance and support services, including preparing correspondence and scheduling meetings.
  • Ensure compliance with Patient Privacy Act (HIPAA), JCAHO protocols, and KDMC mission and vision statements.
  • Promptly and professionally greet and assist customers.
  • Schedule appointments and accurately complete patient registration information.
  • Maintain proper telephone etiquette and process information for billing.
  • Monitor, audit, and work on work queues.
  • Answer phones and complete patient referrals and documentation in a timely manner.
  • Perform daily cash management, including collecting payments and balancing cash.

Requirements

  • High School diploma or GED is required.
  • One year of related experience in a medical practice setting is required.
  • Ability to type at least 35 words per minute.

Nice-to-haves

  • Associate Degree in Health Administration is preferred.
