About the position

The Patient/Office Coordinator at King's Daughters Medical Center plays a crucial role in supporting the Clinical or Office Supervisor in managing the daily operations of the office. This position involves a variety of secretarial and administrative tasks aimed at ensuring the smooth functioning of the practice. The coordinator is responsible for greeting and assisting patients in a professional manner, scheduling appointments, and ensuring that all patient registration information is accurately completed. The role also requires adherence to guidelines set forth by the Patient Privacy Act (HIPAA), JCAHO protocols, and the mission and vision of KDMC. In addition to patient interaction, the Patient/Office Coordinator will handle various office management activities, including monitoring and auditing work queues, answering phones, and managing office correspondence. The coordinator will also be responsible for daily cash management, which includes collecting payments, explaining financial requirements to patients, and ensuring accurate daily balancing and deposits. Insurance verification is another critical function, ensuring that all necessary information is obtained prior to patient visits. The coordinator will also manage medical record documentation and process requests for medical records, ensuring compliance with all relevant regulations and standards. This position requires a proactive approach to problem-solving and the ability to work effectively in a fast-paced environment while maintaining a high level of customer service.

Responsibilities

  • Assist the Clinical or Office Supervisor in supervising office staff and daily office management activities.
  • Promptly and professionally greet and assist customers.
  • Schedule appointments and accurately complete patient registration information.
  • Maintain proper telephone etiquette and process information for billing.
  • Monitor, audit, and work on work queues.
  • Answer phones and complete patient referrals and documentation in a timely manner.
  • Complete all registration activities from check-in to check-out, obtaining and maintaining current demographics and insurance information.
  • Manage daily cash management, including collecting payments and explaining financial requirements.
  • Perform daily balancing, verification, and deposit of cash.
  • Verify insurance prior to patient visits when applicable.
  • Manage office correspondence and medical record documentation.
  • Process medical records requests.

Requirements

  • High School diploma or GED is required.
  • One year of related experience in a medical practice setting is required.
  • Ability to type at least 35 words per minute.

Nice-to-haves

  • Associate Degree in Health Administration is preferred.
