About the position

The position involves assisting the Clinical or Office Supervisor in overseeing the office staff and managing daily office activities within a medical practice. The role is crucial in ensuring that the office operates smoothly and efficiently while adhering to guidelines set forth by the Patient Privacy Act (HIPAA), JCAHO protocols, and the KDMC mission and vision statements. The individual in this role will provide secretarial guidance and support services, which include preparing correspondence, receiving visitors, scheduling meetings, maintaining files, and conducting special projects or reports as assigned. A key responsibility is to ensure that all office staff comply with established guidelines and protocols. The position requires a professional demeanor, as the individual will be the first point of contact for patients and visitors. Responsibilities include greeting and assisting customers promptly, scheduling appointments, and accurately completing patient registration information. The role also emphasizes the importance of proper telephone etiquette and the processing of information for billing purposes. In addition to these duties, the individual will monitor and audit work queues, answer phones, schedule appointments, and complete patient referrals and documentation in a timely manner. Daily cash management is also a critical function, which includes collecting payments, explaining financial requirements, and ensuring daily balancing, verification, and deposit of funds. Insurance verification prior to patient visits is required when applicable, along with managing office correspondence, medical record documentation, and processing medical records requests.

Responsibilities

  • Assist the Clinical or Office Supervisor in supervising office staff and daily office management activities.
  • Provide secretarial guidance and support services, including preparing correspondence and scheduling meetings.
  • Ensure compliance with Patient Privacy Act (HIPAA), JCAHO protocols, and KDMC mission and vision statements.
  • Promptly and professionally greet and assist customers.
  • Schedule appointments and accurately complete patient registration information.
  • Maintain proper telephone etiquette and process information for billing.
  • Monitor, audit, and work on work queues.
  • Answer phones and complete patient referrals and documentation in a timely manner.
  • Complete all registration activities from check-in to check-out, obtaining and maintaining current demographics and insurance information.
  • Manage daily cash management, including collecting payments and explaining financial requirements.
  • Verify insurance prior to patient visits when applicable.
  • Manage office correspondence and medical record documentation, processing medical records requests.

Requirements

  • Minimum requirement: High School diploma or GED.
  • One year related experience in a medical practice setting.
  • Must be able to type 35 cwpm.

Nice-to-haves

  • Associate Degree in Health Administration.
