About the position

The Patient Representative plays a crucial role in ensuring a smooth and efficient patient experience at Advantage Care Health Centers. This position involves managing patient registration, verifying insurance eligibility, and maintaining accurate records in the Electronic Medical Record (EMR) system. The representative is responsible for greeting patients, collecting necessary documentation, and providing excellent customer service in a busy medical office environment.

Responsibilities

  • Enter/update demographic information in required field of EMR and obtain photographs for EMR registration panel.
  • Greet each patient professionally and ensure they sign in and are marked as arrived on schedule.
  • Obtain signed documents (e.g., consents, financial, advance directives) from patients and scan them into the medical record.
  • Input financial information to determine the level in the Sliding Fee Scale.
  • Complete purchase requisitions, scan documents, and pick up and distribute mail.
  • Check patient's eligibility for Medicaid, Medicare, and third-party insurance, and call insurance companies as needed.
  • Ask at each appointment if there are changes in insurance coverage, address, and phone numbers.
  • Clear/monitor copier, shredder, and fax folder.
  • Answer phone and document necessary information in telephone notes, sending them to the Medical Assistant folder.
  • Fax EMR documents as needed.
  • Receive payments by cash, charge, and check, and post payments.
  • Check all front-end portal folders.
  • Receive incoming calls from patients and schedule appointments.
  • Confirm all new patient appointments with personal phone calls.
  • Ensure that the appointment master scheduler is accurately maintained and updated as necessary.
  • Block vacation/personal/meeting dates/times in provider appointment schedules.
  • Retrieve dental history from dental insurance website and note completed dental procedures with dates of service, forwarding to dental staff.
  • Comply with social distancing, PPE, and infection protocols.
  • Perform other related duties as requested by supervisor.
  • Monitor Phreesia.
  • Deliver and pick up mail daily.

Requirements

  • High School Diploma or Equivalent required.
  • Basic Life Support/AED certification required.
  • Strong oral, written, and organizational skills required.
  • Prior experience coordinating activities of a busy medical office or health care center preferred.
  • Computer proficiency in all Microsoft Office Suite applications.
  • Knowledge of Electronic Medical Record (EMR) preferred.
  • Excellent client/customer service orientation.
  • Ability to deal effectively with a variety of people and work in a team environment.

Nice-to-haves

  • Prior experience in a medical office setting.
  • Familiarity with insurance verification processes.
