About the position

The Patient Services Coordinator III at Massachusetts General Hospital plays a crucial role in providing administrative support within the Cardiology Division's Vascular Medicine outpatient practice. This position serves as the primary interface between patients and healthcare providers, ensuring exceptional customer service and effective communication. The coordinator is responsible for managing patient appointments, handling complex inquiries, and supporting the overall patient experience while maintaining confidentiality and adhering to HIPAA guidelines.

Responsibilities

  • Provide administrative support to healthcare providers in the Cardiology Division's Vascular Medicine outpatient practice.
  • Serve as the primary interface between patients and providers across multiple practice locations.
  • Manage complex telephone calls and triage patient inquiries with exceptional customer service skills.
  • Schedule patient appointments and manage changes, including coordinating multiple appointments/tests/procedures.
  • Prepare and send follow-up appointment reminder communications to patients.
  • Coordinate the scheduling of diagnostic testing and interventional procedures, confirming details with patients.
  • Track and deliver required pre-procedure clinical data and results within specified timeframes.
  • Manage the Epic Front Desk InBasket pool and other staff messages.
  • Coordinate and track new referral appointments and manage associated work queues.
  • Respond to requests from physicians' offices, family, and other entities for medical documentation and information.
  • Maintain physicians' calendars and communicate schedules with relevant departments.
  • Assist with training and orientation of new staff as needed.
  • Identify and communicate inefficiencies in processes to leadership and assist in their resolution.

Requirements

  • High School Diploma or GED required; Associate degree in Business Administration or Secretarial Certificate Program desirable.
  • 2-3 years of related work experience in a hospital setting or medical environment preferred.
  • Demonstrated customer service experience is required.
  • Excellent interpersonal and communication skills, both oral and written.
  • Strong computer skills, including proficiency with hospital systems and Microsoft Office products.
  • Ability to handle sensitive and confidential information in compliance with hospital policy.
