About the position

The Patient Service Coordinator is a temporary role at Aligned Orthopedic Partners, responsible for managing patient interactions and administrative tasks within a physical therapy setting. This position plays a crucial role in ensuring efficient patient flow, accurate documentation, and effective communication between patients and healthcare providers.

Responsibilities

  • Receives and directs incoming telephone calls politely.
  • Accurately documents messages and forwards to therapists and personnel in a timely manner.
  • Checks designated voicemail boxes regularly and ensures timely follow-up on all calls.
  • Appropriately schedules patient appointments and obtains complete medical, demographic, and insurance information.
  • Informs patients of Practice Financial Policy and directs calls to Therapy Billing for insurance questions.
  • Explains insurance benefits to patients.
  • Manages cancellation list and fills open slots wherever possible.
  • Ensures that patients sign in and present with required referrals.
  • Generates new patient flowsheets and paperwork.
  • Ensures new patients complete appropriate forms and sign consent and financial agreements prior to visits.
  • Accurately enters patient information into the computer program and updates established patient information.
  • Notifies therapist or aide of patient readiness in a timely manner.
  • Updates printed schedule with add-on or cancelled appointments and notifies billing of new patients added on.
  • Collects co-pay, deductible, coinsurance, and other payments; documents payments in the computer system and control log.
  • Forwards all cash and checks to the Practice Administrator for deposit preparation.
  • Schedules follow-up appointments as necessary.
  • Performs tasks associated with the opening and closing of the office.
  • Coordinates administrative supply orders.
  • Manages the rescheduling of patients when a therapist has a change in schedule.
  • Performs basic administrative tasks including scanning and faxing documentation.

Requirements

  • High School Graduate
  • Excellent written and verbal communication skills
  • Ability to multi-task and remain calm in stressful situations
  • Ability to use a multi-line telephone system and billing computer program
  • Demonstrates keyboard proficiency
  • Demonstrates working knowledge of medical terminology
