About the position

The Patient Service Representative (PSR) at KU MedWest plays a vital role in enhancing the patient experience within an ambulatory clinic. This position is responsible for managing front desk operations, which include greeting and checking in patients, answering phone calls, collecting copays, and assisting with appointment requests through MyChart and EMR systems. The PSR also supports the physician care team by preparing for daily patient appointments and ensuring a seamless flow of operations in the clinic.

Responsibilities

  • Schedule internal and external incoming department referrals and appointments.
  • Maintain knowledge of appointment types, locations, providers, and specialties.
  • Register patients during the scheduling process, including entering demographics and insurance verification.
  • Assist patients with MyChart activation and support.
  • Manage high volume patient check-in/out and phone reception.
  • Collect point of service payments as per EMR estimates.
  • Schedule follow-up diagnostic and therapeutic orders post-visit.
  • Participate in department daily huddles and process improvement initiatives.
  • Establish productive working relationships with providers and clinical care teams.
  • Communicate Health System Policies to patients and advocates.

Requirements

  • High School Graduate or GED
  • 1 or more years of customer service or healthcare experience
  • Ability to read, write, speak, and understand English
  • High level of customer service skills focusing on problem resolution
  • Basic computer skills including Microsoft Excel, Word, Outlook, and Teams
  • Ability to maintain patient confidentiality

Nice-to-haves

  • College coursework completed towards an Associate's or Bachelor's Degree
  • Clerical, registration, and/or customer service experience within a healthcare setting
  • Bilingual with documented proof of competencies via language proficiency assessments
