About the position

The Patient Service Representative I plays a crucial role in the administration of patient services at Variety Care. This position involves direct interaction with patients, managing appointments, and ensuring accurate patient information is collected and maintained. The representative is responsible for providing excellent customer service, supporting the practice's operational goals, and adhering to privacy policies and procedures.

Responsibilities

  • Answers telephones and schedules appointments.
  • Obtains patient information and prepares charts for examination.
  • Collects and secures payments at patient check-out.
  • Provides back-up and overflow coverage for Front Office Telephone Operator(s).
  • Receives patients at the reception window and obtains required documentation.
  • Updates financial and family information for each patient visit.
  • Schedules appointments in electronic medical records.
  • Posts charges and payments at the time of check-out.
  • Verifies late or open balances and reminds patients of outstanding balances.
  • Calls billing assistance for patient balance inquiries.
  • Accepts payments and secures daily collections.
  • Balances daily transactions and maintains order in the waiting area.
  • Calls custodial staff for assistance as needed.
  • Follows HIPAA guidelines and Variety Care Privacy policy.
  • Notifies staff of any office equipment issues.
  • Provides training and coaching to mentors/preceptors.
  • Supports Variety Care's accreditation as a Patient Centered Medical Home.
  • Embodies strong personal character and ethical conduct.
  • Acts as a leader in the department and community.
  • Performs other duties as assigned.

Requirements

  • High School Diploma or GED.
  • Legible handwriting and basic mathematic skills.
  • Experience working with the public.
  • Basic data entry and keyboarding skills.
  • Experience handling confidential information.
  • Ability to work in an active and stressful environment.

Nice-to-haves

  • Bilingual (English/Spanish).
  • Experience communicating with patients and staff.
  • Experience working with difficult patients.
