About the position

The Patient Service Representative plays a vital role in providing exceptional customer service at a surgical Med spa. This position serves as the first point of contact for patients, ensuring a welcoming and efficient experience while coordinating care and support throughout their visit.

Responsibilities

  • Serve as the initial point of contact for all patients, greeting them warmly and assisting them throughout their visit.
  • Conduct pre-registration and accurate scheduling of patient appointments to optimize clinic workflow.
  • Manage patient check-in, ensuring a smooth and efficient process.
  • Handle all communications, including messages and inquiries, effectively and promptly.
  • Oversee key management to maintain security and accessibility within the office.
  • Manage and maintain medical records with high attention to confidentiality and compliance.
  • Coordinate referral management and ensure timely follow-ups with referring physicians.
  • Process billing and payments accurately, providing clear explanations of charges to patients.
  • Assist in charge reconciliation to ensure accurate billing and financial records.
  • Provide information to patients regarding procedures, services offered and answer any questions they may have.
  • Facilitate communication between patients and medical professionals to ensure seamless care coordination.
  • Monitor and manage patient feedback and satisfaction to enhance service quality.
  • Ensure compliance with all healthcare regulations and organizational policies.

Requirements

  • Minimum of 1 year of experience in a patient service representative role, preferably in a plastic surgery or Med spa environment.
  • Excellent communication and interpersonal skills.
  • Detail-oriented with strong organizational abilities.
  • Ability to handle sensitive information with discretion and maintain patient confidentiality.
  • Strong problem-solving skills and ability to work in a fast-paced environment.
  • Knowledge of aesthetic procedures and services.
  • Familiarity with insurance verification and authorization processes.

Nice-to-haves
