About the position

Join our team as a Payroll & Account Payable Processor, where you will play a crucial role in managing payroll and accounts payable functions within the healthcare sector. This full-time position is based at our Pasadena location, and you will be responsible for ensuring accurate and timely processing of payroll for all employees. You will input new employee details into the payroll system, update changes in employee status, and monitor employee evaluation deadlines to ensure timely completion. Your role will also involve providing daily hours reports to supervisors and handling additional pay for special circumstances such as shift differentials and bonuses. In addition to payroll processing, you will assist the Business Office Manager in compiling audit-related information and maintaining all payroll reports and employee files. You will be required to keep employee timecards for seven years in compliance with labor law requirements and ensure adherence to the facility's payroll policies and procedures. Your responsibilities will also include reporting employee injuries to the workers' compensation carrier and following up on cases until closure. You will participate in the orientation of new employees and serve on the Safety Committee, ensuring that all necessary records, such as physical/TB screenings and licensing/certification for nursing staff, are maintained accurately. This position requires strong communication skills, the ability to collaborate effectively with others, and a solid understanding of payroll processes within the healthcare industry. Responsibilities

  • Input all new employee details into the payroll system and update any changes in employee status promptly.
  • Timely entry of approved rate increases.
  • Monitor employee evaluation deadlines for timely completion and report any delays to the administrator.
  • Provide daily Hours report to all supervisors.
  • Handle additional pay for special circumstances such as shift differentials, bonuses, or missing hours.
  • Ensure appropriate setup for employees working in multiple departments.
  • Assist the Business Office Manager in compiling audit-related information.
  • Maintain all payroll reports and employee files.
  • Keep employee timecards for 7 years as per labor law requirements.
  • Adhere to the facility's payroll policies and procedures consistently.
  • Obtain necessary approvals for finalizing payroll hours each period.
  • Record in-service hours accurately in the payroll system.
  • Report employee injuries to the workers' comp carrier and follow up on cases until closure.
  • Provide coverage for the receptionist position upon request.
  • Prepare orientation materials for DSD.
  • Monitor employee physical/TB screening due dates and maintain related records as directed by DSD.
  • Verify RN, LVN, and CNA licensing/certification, track expiration/renewal, and maintain records as directed by DSD.
  • Update the employee telephone listing and distribute it to nursing stations.
  • Maintain in-service hours records as instructed.
  • Participate in the orientation of new employees and serve on the Safety Committee.
  • Track physical/TB screenings for contracted rehabilitation employees and maintain records as directed by the DSD.
  • Maintain records of current licensing/certification for contracted rehabilitation employees.
  • Perform other duties assigned by DSD.

Requirements

  • High school diploma required.
  • Some college background is preferred.
  • Outstanding written and verbal communication skills.
  • Ability to collaborate effectively with others.
  • Two years of experience in processing payroll and account payables in the Healthcare sector.
  • Proficiency in operating office equipment and Microsoft computer applications.
