About the position

The Payroll Accountant / Office Manager at TMG Construction is a pivotal role responsible for managing the entire payroll process and supporting various accounting functions, including accounts receivable and certified payroll. This position is essential for maintaining the accuracy and timeliness of TMG's financial operations and workflow systems. The Payroll Accountant / Office Manager will report directly to the Assistant Controller and is expected to perform job responsibilities in a timely and accurate manner while communicating effectively with management and co-workers. The role requires adherence to all regulations, policies, and work procedures, ensuring that sensitive financial information is treated with confidentiality. In this position, the employee will regularly engage in tasks that require effective communication and professional interaction with team members. The role involves frequent physical activity, including standing, walking, and using hands for various tasks. The employee must also be capable of lifting and moving weights up to 25 pounds and possess specific vision abilities necessary for the job. The responsibilities include payroll preparation, processing, and reconciliation, ensuring accurate wage rates and deductions, and managing payroll taxes and employee benefit programs. Additionally, the Payroll Accountant / Office Manager will assist in other accounting areas as needed, contributing to the overall financial health of TMG Construction.

Responsibilities

  • Maintain accurate wage rates, accrual rates, and other deductions for each employee.
  • Collect all timesheets on a weekly basis, review for accuracy, and follow up on discrepancies.
  • Identify projects requiring Davis-Bacon wage rates and ensure compliance in employee payments.
  • Coordinate and collect certified payrolls from subcontractors when required.
  • Timely process certified payrolls as necessary.
  • Enter weekly and bi-weekly timesheet information into the Viewpoint payroll module.
  • Generate payroll and distribute pay stubs on a weekly and bi-weekly basis.
  • Timely process payroll taxes to the appropriate agencies.
  • Manage or assist with accounts receivable including contract billings.
  • Work with insurance carriers to administer employee benefit programs, ensuring accurate deductions and reconciliations.
  • Timely process 401K contributions and disability billings.
  • Prepare all monthly, quarterly, and annual payroll tax returns (multi-state and federal).
  • Generate and distribute year-end W-2s.
  • Maintain accessible payroll records for compliance and audit purposes.
  • Research and implement payroll requirements for new states where TMG Construction may operate.
  • Prepare billings and record costs associated with joint ventures.
  • Verify record keeping with potential joint venture partners.
  • Maintain financial statement parameters within accounting software for joint ventures.
  • Establish procedures to track payroll hours associated with joint ventures, processing payroll accurately and timely.

Requirements

  • Associate degree in accounting or equivalent with a minimum of 5 - 7 years of related experience, or a Bachelor's degree in accounting or equivalent with a minimum of 2 - 4 years of experience (preferably in commercial construction).
  • 2 or more years of payroll experience preferred.
  • Proficient in MS Office applications, including Excel, Word, and Outlook.
  • Proficient in accounting and reporting applications; experience in Viewpoint and/or ADP desired.
