About the position

The Payroll Accounting Coordinator plays a crucial role in supporting the accounting and payroll department by performing various clerical tasks. This position ensures accuracy and efficiency in financial record-keeping, payroll processing, and reporting. The coordinator assists in accounts payable and receivable functions, reconciles bank statements, and contributes to month-end close procedures, thereby helping to maintain the financial health and integrity of the organization.

Responsibilities

  • Prepares, posts, verifies, and records customer payments and transactions related to accounts receivable.
  • Prepares and processes bank funding file.
  • Maintains and updates customer files, including name or address changes, mergers, or mailing attentions.
  • Drafts correspondence for standard past-due accounts and collections, identifies delinquent accounts by reviewing files, and contacts delinquent accountholders to request payment.
  • Creates reports regarding the current status of customer accounts as requested.
  • Researches customer discrepancies and past-due amounts with the assistance of the Collections Manager and other staff.
  • Processes bi-weekly or weekly payroll for employees accurately and on time using the payroll software provided.
  • Ensures time reports entered are accurate and approved by managers. Verifies and enters hours to be paid to employees.
  • Prepares and distributes Payroll reports to management.

Requirements

  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office Suite or related software as well as other accounting software programs.
  • Ability to operate related office equipment, such as laptop, docking station, scanner/copier.
  • Ability to work independently and in a fast-paced environment.
  • Ability to anticipate work needs and interact professionally with customers and co-workers.
  • Excellent organizational skills and strong attention to detail.
  • Strong analytical and problem solving abilities.
  • Associate's or Bachelor's degree in Business or Accounting preferred.
  • At least two years of related experience required.

Nice-to-haves

  • Proven verbal and written communication.
  • Excellent computer skills in MS Word, Excel, data entry, etc.
