About the position

The Payroll/Accounting Specialist position at Bell Socialization Services is a full-time role focused on the accurate and timely processing of payroll and related accounting functions. The specialist will be responsible for maintaining computerized employee files, ensuring that payroll information is filed in an organized manner, and managing accounts payable associated with payroll. This includes accurately computing amounts, presenting proper documentation for payment, and ensuring timely disbursements while maintaining correct filing and documentation of all relevant information. In addition to payroll processing, the specialist will verify the accuracy of all tax information and 401K amounts, classifying them to the appropriate general ledger account numbers. The role requires the timely creation of payroll reports, pulling payroll data into financial software, and preparing all necessary quarterly and annual payroll reports. Monthly responsibilities include preparing bank reconciliations for all business accounts, processing rental assistance payment requests, and billing rental assistance invoices. The specialist will also post payments received for accounts receivable billing and perform monthly reconciliations of Accounts Payable and Fixed Assets. The position also involves assisting with audit preparation for the annual financial audit and 401K audits, addressing employee benefit questions, and managing enrollment and changes in benefit plans. The specialist will be expected to follow and support the agency's philosophy, policies, and procedures, develop proficiency in all payroll software, and serve as the point of contact for employees regarding payroll inquiries. Additional duties may be assigned by the Assistant Director of Finance (ADOF) and Director of Finance (DOF).

Responsibilities

  • Accurate and timely processing of payroll according to procedures.
  • Maintain computerized employee files and file processed payroll information in an organized manner.
  • Manage accounts payable associated with payroll, including accurate computation of amounts and proper documentation for payment.
  • Verify accuracy of all tax information and 401K amounts, classifying them to the proper general ledger account number.
  • Create and pull payroll reports into financial software regularly.
  • Prepare all quarterly and annual payroll reports required.
  • Prepare monthly bank reconciliations for all business accounts.
  • Process weekly rental assistance payment requests and monthly billing of rental assistance invoices.
  • Post payments received for accounts receivable billing.
  • Perform monthly reconciliation of Accounts Payable and Fixed Assets.
  • Assist with audit preparation for annual financial audits and 401K audits.
  • Address employee benefit questions and manage enrollment/changes in benefit plans.
  • Conduct payroll verifications in a timely manner.
  • Develop proficiency in all payroll software and serve as the point of contact for employees.
  • Perform additional duties as assigned by ADOF & DOF.

Requirements

  • Associate degree in accounting or college credits in accounting and/or experience in bookkeeping.
  • Bachelor's degree in accounting preferred.
  • 1 year of payroll experience preferred.
  • Valid Driver's License.
