About the position

The Payroll and Accounting Specialist at SAFE Boats International is a vital role within the Finance/Accounting Department, responsible for ensuring the accurate processing of payroll and managing various accounting functions. This position requires a keen attention to detail and a thorough understanding of payroll systems, as the specialist will be importing time and other relevant information into the systems to guarantee that pay, benefits, garnishments, and miscellaneous deductions are processed timely and accurately. The role also encompasses tasks related to accounts payable and receivable, contributing to the overall efficiency of the Finance and Accounting Department. In this position, the Payroll and Accounting Specialist will review the timekeeping system to identify and reconcile discrepancies, compile employee time and payroll data, and communicate with supervisors and managers regarding necessary adjustments. The specialist will process payroll for multiple site locations across various departments, handle employment verifications and garnishments, and maintain compliance with federal and state payroll regulations. Additionally, the role involves training backup personnel for payroll processing and proactively planning for potential disruptions to payroll operations. The specialist will work closely with the finance team to ensure labor-related expenses are accurately captured and reconciled, produce payroll-related reports, and assist the CFO with tax strategies related to payroll. The accounting responsibilities include entering and reconciling employee benefits payments, maintaining financial records, and assisting with month-end closing processes. The role demands a high level of confidentiality and professionalism, particularly concerning employee compensation.

Responsibilities

  • Reviews timekeeping system and reconciles payroll discrepancies.
  • Compiles employee time, production, and payroll data from automated systems and exports hours weekly.
  • Communicates with supervisors and managers regarding adjustments needed for accuracy.
  • Processes payroll for multiple site locations across various departments.
  • Handles employment verifications and employee garnishments.
  • Maintains knowledge of payroll systems and implements necessary changes.
  • Ensures compliance with payroll processing regulations for federal contractors and Washington state employers.
  • Trains backup personnel for payroll processing in the absence of the specialist.
  • Plans for potential disruptions to payroll processing.
  • Fields team member questions related to pay and compensation.
  • Works closely with finance to ensure labor-related expenses are captured accurately.
  • Produces payroll-related reports as requested by department leaders.
  • Collaborates with CFO on tax strategy related to payroll and benefits.
  • Processes employee purchases via payroll deduction.
  • Oversees distribution of W2s and produces payroll reports accurately and timely.
  • Conducts filing of confidential documents into team member files.
  • Enters, reconciles, and submits payment for employee benefits.
  • Records bi-weekly payroll journal entries in accounting software.
  • Assists with maintaining financial records, including ledgers and accounts payable.
  • Reconciles employee PRD GL account and records monthly PTO accrual journal entry.
  • Assists with month-end closing process as needed.
  • Funds HSAs and produces monthly and quarterly reports.
  • Calculates and pays L and I tax and provides insurance information for the census yearly.
  • Submits annual ACA reporting and prepares for audits related to 401K and ESOP.

Requirements

  • High school diploma or equivalent required; degree in accounting, finance, human resources, or related field desired.
  • 3+ years of experience processing and overseeing payroll functions for an organization of 300+ team members, preferably in manufacturing or construction.
  • Professional certification or working towards payroll certification preferred but not required.
  • Experience with project-based payroll and multi-state payroll taxes.
  • Familiarity with garnishments, benefits, and 401K processes.
  • Experience in a fast-paced environment and using payroll software, preferably ADP/Time and Attendance.
  • Advanced experience using Excel, including pivot tables.
