About the position

The Payroll Accounting Specialist is responsible for managing the payroll functions of the company, ensuring timely and accurate payroll processing in compliance with regulations. This role involves payroll reconciliation, reporting tasks, and collaboration with HR and accounting functions.

Responsibilities

  • Process payrolls for all employees, including collection of time data and performing necessary calculations in Excel.
  • Integrate payroll data into the accounting system.
  • Handle travel expense and credit card processing.
  • Prepare commission calculations in Excel and process commission payments.
  • Manage all payroll accounting, including reconciliation.
  • Review, reconcile, and maintain the company's insurance, including employee health care and worker's compensation.
  • Ensure compliance reporting for licenses and permits of the company.
  • Address payroll-related questions and concerns from employees.
  • Organize and maintain comprehensive payroll and HR files.
  • Act as a liaison between payroll and insurance carriers.
  • Lead the workers' compensation audit and report findings.
  • Provide training regarding safety and other requirements.
  • Maintain confidentiality of company and employee information.
  • Assist accounts receivable (AR) and accounts payable (AP) during non-payroll weeks with account analysis.
  • Support administration with monthly, quarterly, or annual safety inspections.
  • Collaborate with management during the hiring and termination processes.
  • Assist the warehouse team with compliance reporting.
  • Serve as a backup for administration, AP, or AR during personnel PTO.
  • Complete special projects and other duties as assigned.

Requirements

  • Bachelor's degree in Accounting or related field.
  • Proven experience as a Payroll Accounting Specialist or similar role.
  • Strong knowledge of payroll processes, laws, and regulations.
  • Experience with financial application software (e.g., NetSuite, Oracle, SAP) and related reporting tools.
  • Attention to detail and accuracy.
  • Strong analytical and problem-solving skills.
  • Ability to handle sensitive information confidentially.
  • Knowledge of general ledger accounting principles is a plus.
  • Familiarity with account reconciliation procedures.
